Setup and Update Instructions for Client/TimeMate

INSTALLATION INSTRUCTIONS

Download the latest installation file from www.itmates.co.za/downloads/

Once downloaded, run the installation file on the computer that will act as your ‘server.’

Click ‘Open’ to run the installation file.

The Setup Wizard will open.

Click ‘Next’ and complete all requirements.

SETUP FILE SHARING

The next step is to setup file sharing. This is only required if the ‘root’ of the C:Drive isn’t already shared, as below. Right-click on the IT Mates folder and select ‘Properties.’ Share according to your specifications.

REGISTRATION

You should now run Client/TimeMate from your server and register the program. This must only ever be done on the server.

For a first-time login, use “demo” for username and password to gain access to the program. The Server Connection box will pop up and automatically fill in the IP Address of the server and the port number. Do not stop this process.

Since there is no active license at first, it will take you directly to the registration screen;

Enter your information into the fields and select ‘Click here for Online Licence Request.’

If you are registering for the first time, please be patient as we have to manually approve first-time licenses on our end. After approval, ou will get an email containing an activation code and all the details you used to register the licence. You can either put the activation code in or select ‘Click here for Online Licence Request’ again. You will get a pop-up saying “Success! The program will now close to finalise licencing.’

ClientMate is now installed on the server. From here, users will access ClientMate via a mapped network drive on their own local devices. ClientMate should never be installed locally on a user’s device.

To map a network drive on a user’s device, open up File Explorer in the usual way on the workstation computer. Right-click on This PC and choose ‘Map network drive…’

Select a Drive letter for the shared network drive e.g.:

Find the ITMates folder that ClientMate was installed into on your ‘server’

And you should end up with something like this:

Y: will now be the mapped network drive for your ClientMate installation.

Windows Explorer should now automatically open to Explore the Drive:

Double-click on the ClMate folder to open it, and find the Clientmate.exe to create the desktop shortcut

You will now be able to start ClientMate from the desktop shortcut on the workstation.

Repeat this on each workstation computer, using the same drive letter, if possible.

UPDATE INSTRUCTIONS

All instructions for updating Client/TimeMate are below, along with some of the common errors experienced after updating.

NOTE: If you are running Client/TimeMate on a server, updates must only be run on the server.

Every time Client/TimeMate opens, it runs a process to check for updates. If an update is available on our website, a message will pop up alerting you:

1. On your server, navigate to itmates.co.za/downloads/ for the latest version of the program.

If your practice uses both ClientMate and TimeMate, select the “Download Program” button under “TimeMate.” This includes ClientMate in the install file.

If your practice only uses ClientMate, select the “Download Program” button under “ClientMate.”

    2. Once the download has completed, open the install file and select “Yes” if Windows asks you if the program can make changes to your computer. The Setup Wizard will then open;

    Select “Next” and select “I accept the terms of the license agreement” when the License Agreement is brought up. Continue to click “Next” until you reach the file path selection page.

    2.1 The default file path for the program is in the C Drive. If your practice has Client/TimeMate installed somewhere else, select that location by clicking the “Change…” button and selecting the right location.

    To find the location of Client/TimeMate on your server, go to the desktop shortcut you use to open the program. Right-click and select “Open file location”. The file path will display in the pathfinder bar.

    2.2 Use this file path in the install path section of the setup wizard.

    3. Continue to select “Next” until the Setup Wizard opens the Runtime File Manager. This will run through all the files in the install pack until the below messages appear;

    3.1 Select “OK.” on the No Records message.

    3.2 Select “Quit Now’ on the FM3 Upgrade note message.

    Repeat those two steps whenever each box appears.

    4. Select “Finish” on the Setup Wizard;

    5. You may get a message telling you to restart your server;

    In this case, click “Cancel” to restart at your own time. If you click “OK” the server will restart immediately. You must make sure that all staff are not using the server before restarting.

    6. After the server has restarted, repeat the installation from steps 1 to 5 and you should be all good to go. Run ClientMate and if you experience any issues, proceed to Troubleshooting below.

    TROUBLESHOOTING

    Some of the common problems experienced after an update are listed below, along with solutions;

    PERMISSIONS

    Some of the files may reset back to private instead of shared. In this case, go to the ITMates/ClMate folder on the server, select all, select “Give access to…” and proceed to reset the permissions to Read/Write for all users.

    MISSING FILES

    This can happen after a restart. You might get a prompt when trying to open Client/TimeMate that a .dll file is missing. In this case, simply re-install and follow the steps above again.
